About the Role

We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the manager's working life and communication.


Responsibilities
  • Act as the point of contact between the manager and internal/external clients

  • Screen and direct phone calls and distribute correspondence

  • Handle requests and queries appropriately

  • Manage diary and schedule meetings and appointments

  • Make travel arrangements

  • Take dictation and minutes

  • Source office supplies

  • Produce reports, presentations and briefs

  • Devise and maintain office filing system


Schedule
  • Remote and In-person

  • Flexible schedule to complete tasks as needed: approximately 16 Hours/week (Typically 4-6 hours

  • Monday, Wednesday, Friday) between the hours of 9:30am and 3:30pm

  • Weekly Wednesday Team Meetings: 9:45 am 12:00 pm

  • 1-2 days per week will be in person in CORAL GABLES, FL

Education
  • High school or equivalent (Required)

  • Associate or bachelor s degree or relevant college coursework and 1 to 2 years of experience, or equivalent combination of training, education, and experience to perform the job successfully

  • If the applicant desires to wear a face covering while in residence, it must be a clear face shield or clear face mask so I can still read lips

Requirements
  • Positively represent me and my work and always be professional (on-time, positive attitude, respectful, proactive)

  • Communicate effectively and professionally with service providers, family, and the Ability Together team as needed

  • Read and communicate fluently in English

  • Experience working with and/or advocating for people that have disabilities and/or are deaf/hard-of- hearing

  • Potentially assist with transportation to and from community activities, outings, and/or speaking events

  • 2 or more years of experience preferred

  • Experience in the healthcare industry is a plus

  • Eager and willing to learn, and accept challenges

  • Computer savvy and comfortable using webcam, headphones, and microphone

  • Good working knowledge of PowerPoint, Google Slides, and slide show presentation

  • Professional writing and communication skills

  • Experience working with Microsoft 365 products (Word, Outlook, and Excel) and Google Workspace

  • Reliable access to a car and maintain clean driving record in compliance with Transportation Safety


Standards; and maintain proper auto insurance and vehicle registration


  • Ability to maintain a regular work schedule on weekdays and occasionally one weekend day

  • Successfully pass all post-offer, and pre-employment screening requirements, including criminal background checks, and provide proof of eligibility to work in the United States
